We are small, fully remote, and AI-native. We are recruiting an assistant to support our two co-founders with their calendars, travel, and day-to-day administration, across work and personal life.

About the role
This is a hands-on administrative role. You will keep two busy people organised: managing their calendars, arranging their travel, preparing their meetings, and handling the appointments, bookings, deliveries, and paperwork that otherwise eat into their working day. One director is based in Tunis and you will work with them in person regularly. The other is based in Portugal and works with you remotely. Both are English speakers, neither speak fluent French or Arabic. We are hiring for attitude and aptitude for organisation. We want someone who takes pride in getting small things right, who stays calm when plans change, and who brings solutions not problems. Much of your time will be spent solving administrative problems
- ensuring meetings are scheduled correctly, chasing people, collecting and completing forms, doing booking. It is vital work, but not glamorous work. If that sounds beneath you, this is not the right role. If you like being the person who makes everything run, keep reading. The role will report to the Operations Manager and will work directly with the co-founders day to day. The role will require comfort with short deadline, ad hoc requests, and an ability to respond rapidly without oversight. What you will do Calendars and priorities:
• Manage the co-founders’ diaries, coordinate meetings, confirm attendance, and resolve scheduling conflicts
• Track priorities, deadlines, and follow-ups, flagging clashes early and finding solutions
• Keep the co-founders informed of upcoming commitments and changes Travel, meetings, and logistics:
• Research and propose travel and accommodation options, and prepare clear itineraries for approval
• Set up meetings and calls: video links, venues, and the materials people need in front of them
• Handle event RSVPs and other ad hoc arrangements Personal and general administration:
• Manage personal administration, including appointments, reservations, reminders, deliveries, and errands
• Keep contact lists, to-do lists, and reminders up to date
• File and archive documents and correspondence accurately and promptly
• Respond to a wide range of administrative requests from the co-founders Who we are looking for
• A positive, can-do attitude, including when tasks are routine or plans change at short notice
• Highly organised, with a good eye for detail
• Eager to learn, and happy to take direction and feedback
• Proactive: notices what is needed and suggests it, rather than waiting to be asked
• Discreet and trustworthy with personal information
• A warm, clear communicator, in writing and on the phone
• Highly confident with using IT systems and AI for operational activities
• A degree from a top-tier Tunisian or international university, with a strong academic record. We are not fussy about the subject
• Complete fluency in English, written and spoken
• Previous assistant or admin experience is a plus, not a requirement
